Terms & booking conditions

About these terms

These terms are between you (the parent or carer booking) and CodeBots Kids. They apply to every booking: taster sessions, weekly terms and holiday bootcamps. Booking a place means you accept them. If anything is unclear, ask us before you book — we would rather explain than have you guess.

Booking a place

A place is confirmed only when we have received your payment. Places are limited to eight children per class and are offered first come, first served. The £10 taster is a single session: it lets your child try a class, but it does not hold or reserve a term place. To book at the moment, message us on WhatsApp (+44 7827 874477) or email dqalib@gmail.com. [TO CONFIRM: online booking link when live]

Prices and what is included

  • Code Club: £96 per 8-week term (ages 7–11).
  • Robotics Lab: £180 per 8-week term (ages 10–14).
  • Taster session: £10, credited against the term fee if you join.

All laptops, robots, kits and materials are provided — there is nothing to buy. Prices may change between terms, but never within a term you have already paid for.

Paying

Term fees are payable in full before the term starts. If paying in one go is difficult, talk to us: we would rather a child attended than not, and we can split a term fee into instalments at no extra charge. No fuss, and it stays between us.

Cancelling or changing your mind

You have 14 days from booking to change your mind and receive a full refund. If you ask for the first session to happen within those 14 days, the cooling-off right ends once that session has been attended. After that, term fees are refunded in full up to 14 days before the term starts, at 50% up to 7 days before, and are not refundable after that point. Taster sessions are refundable up to 48 hours before the session.

Missed sessions

There is no refund or credit for a session your child misses. We will always share the materials from the missed session and help your child catch up, and where a space exists in a class on another day we offer one make-up session per term.

If we cancel

If we have to cancel a session, we will run a replacement session or refund that session pro rata, whichever suits you. If a term does not run at all, you receive a full refund.

Behaviour

We may ask you to collect your child during a session, and in rare cases end a child’s place, where behaviour puts other children or coaches at risk. If a place is ended on these grounds, we refund the remaining sessions, unless the behaviour involved deliberate damage to club or venue property. How we handle behaviour day to day is set out in our safeguarding policy.

Your child’s safety and needs

Please tell us about any medical needs, allergies or additional needs when you book, so we can look after your child properly. We will do our best to include every child, and if we genuinely cannot meet a need safely we will say so honestly and refund you in full — we will never take a child’s place just to fill it.

Drop-off and collection

Please arrive no more than 10 minutes before the session starts. Children are signed in and out, and we release a child only to the adults named on the booking form. What happens if collection is late is set out in our safeguarding policy.

Photographs

We take and publish photographs and video only with written parental consent, as described in our safeguarding policy and our privacy notice. You can withdraw consent at any time.

Your child’s work

Whatever your child builds or codes is theirs, and they keep it. We may show anonymised examples of children’s work — in the venue, on the website or in marketing — without naming the child.

Liability

We hold public liability insurance. We are responsible for loss or damage caused by our negligence, and we are not responsible for personal belongings brought to a session. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or takes away your statutory rights under the Consumer Rights Act 2015.

Complaints

If something has gone wrong, email dqalib@gmail.com or message us on WhatsApp. We acknowledge complaints straight away and respond in full within five working days.

General

These terms are governed by the law of England and Wales. If any part of them is found to be unfair or unenforceable, the rest still applies.
